At RhinoBus, we understand that plans can change. This Cancellation Policy outlines the terms and conditions regarding cancellations, modifications, and refunds for charter bus services booked through RhinoBus Charter Bus Services.

Important Notice

We strongly recommend reviewing this policy before booking to understand your rights and obligations regarding cancellations and refunds.

1. Free Cancellation Period

RhinoBus offers a free cancellation period to provide flexibility for our customers:

15-Day Free Cancellation

You may cancel your reservation up to 15 days (360 hours) before your scheduled trip date at no charge and receive a full refund of all payments made.

Example: If your trip is scheduled for March 20th at 8:00 AM, you may cancel free of charge until March 5th at 8:00 AM.

2. Cancellation Fees

Cancellations made within 15 days of the scheduled trip date are subject to the following cancellation fees:

8-14 Days Before Trip

Cancellation Fee: 25% of total booking cost

Refund Amount: 75% of total payment

4-7 Days Before Trip

Cancellation Fee: 50% of total booking cost

Refund Amount: 50% of total payment

1-3 Days Before Trip

Cancellation Fee: 75% of total booking cost

Refund Amount: 25% of total payment

Less Than 24 Hours Before Trip

Cancellation Fee: 100% of total booking cost

Refund Amount: No refund

3. How to Cancel Your Reservation

To cancel your reservation, you may use any of the following methods:

Important: Cancellations must be received and confirmed by RhinoBus to be valid. We recommend requesting written confirmation of your cancellation for your records.

4. Modification and Rescheduling

4.1 Free Modifications

You may modify your reservation details (date, time, pickup location, etc.) up to 15 days before your trip at no additional charge, subject to availability.

4.2 Late Modifications

Modifications requested within 15 days of your trip date may be subject to:

  • Administrative fees
  • Price adjustments based on new trip details
  • Availability restrictions

4.3 Rescheduling

If you need to reschedule your trip to a different date, the same cancellation fee structure applies unless the new date is within the same month and approved by RhinoBus.

5. Refund Processing

5.1 Refund Timeline

Approved refunds will be processed within:

  • 5-10 business days for credit/debit card payments
  • 10-15 business days for bank transfers
  • 7-10 business days for other payment methods

5.2 Refund Method

Refunds will be issued to the original payment method used for the booking. If this is not possible, alternative arrangements will be made.

6. No-Show Policy

If you or your group fails to appear at the designated pickup location at the scheduled time without prior notice:

  • The reservation will be considered a "no-show"
  • No refund will be provided
  • Full payment for the booked services remains due

Grace Period

We provide a 15-minute grace period after the scheduled pickup time. After this period, the trip may be considered a no-show, or additional wait time charges may apply.

7. RhinoBus-Initiated Cancellations

7.1 Safety and Weather

RhinoBus reserves the right to cancel or delay trips due to:

  • Severe weather conditions that pose safety risks
  • Road closures or unsafe travel conditions
  • Mechanical issues or vehicle safety concerns
  • Government restrictions or emergency situations

7.2 Full Refund

If RhinoBus cancels your trip for any reason, you will receive a full refund of all payments made or the option to reschedule to an alternative date at no additional cost.

8. Special Circumstances

8.1 Medical Emergencies

In case of documented medical emergencies, RhinoBus may waive cancellation fees at our discretion. Medical documentation may be required.

8.2 Force Majeure

In the event of unforeseen circumstances beyond reasonable control (natural disasters, pandemics, civil unrest, etc.), RhinoBus will work with customers to find fair solutions, which may include:

  • Full refund
  • Travel credit for future bookings
  • Rescheduling without penalties

9. Travel Insurance Recommendation

We strongly recommend purchasing travel insurance for your trip, especially for:

  • Large group bookings
  • Long-distance or multi-day trips
  • Events planned far in advance
  • Trips during uncertain weather seasons

Travel insurance can protect you from unexpected cancellation costs and provide additional coverage beyond our standard policy.

By booking services with RhinoBus, you acknowledge that you have read, understood, and agree to this Cancellation Policy. This policy is part of our Terms and Conditions and is subject to the same governing laws and dispute resolution procedures.
